Connect Tally Street to HubSpot

Connecting Tally Street to HubSpot takes just seconds. You must be a Super Admin or have a role in HubSpot that includes access to the App Marketplace.

  1. Log into Tally Street or create a new account. New subscribers will need to connect Tally Street to their accounting software first, or there won’t be anything to send to HubSpot!
  2. Select Connected Platform in the left menu.
  3. Click Connect on the card for HubSpot and you’ll be guided through the integration process.
  4. After successfully authenticating and granting access, customer data and insights generated by Tally Street will automatically be sent to HubSpot.

Company And Contact Matching

First, Tally Street matches the customer record in the accounting system to the record in HubSpot. To maximize the number of matches, it’s recommended that:

  1. The primary contact for the customer in the accounting system and/or on the sales invoice or receipt should also be a contact in HubSpot, assigned to a company, and with the same email address in both platforms.
  2. If there isn’t a match on the contact’s email, matches will be tried using the internet domain (eg, abc-inc.com) pulled from the contact’s email or the website. Most HubSpot company profiles already include the domain, but it may need to be added to the account platform.
  3. If #1 and #2 don’t result in a match, then a match will be attempted based on the Company Name.

Therefore, the customer would ideally have the same company name in both HubSpot and your accounting software.

OPTION: If no match is found, then Tally Street can create a new Company and add the billing contact from the accounting system as the first Contact.

The following Contact property is created and synced from Tally Street into HubSpot.

Customer Segment ChangeAn event is generated when the Customer Segment (Tally St) property changes, eg, changing from Champion to Don’t Lose Them. The event is posted to the activity history for both the Company and its Contacts.
Overdue InvoiceAn event is generated when a customer invoice becomes overdue. The event details include the invoice number, the due date, and the unpaid balance. The event is posted to the activity history for both the Company and the Contact with Billing Contact (Tally St) property equal to Yes.

Set enrollment criteria to automatically enroll records and take actions on your contacts, companies, deals, quotes, and tickets. You can also take actions on associated records, such as updating the company associated with a contact enrolled in the workflow.

Churn RiskThis workflow is triggered by a Customer Segment Change event (see above) and notifies the company owner if the customer moved into the Don’t Lose Them or Give Attention segments.
A/R AutomationThis workflow is triggered by the Overdue Invoice event (see above) and (1) sends an email to the billing contact at a customer then (2) checks 7 days later if there is still an overdue balance, and if so it assigns a task to the owner of the billing contact. No email will be sent until the draft email is reviewed and published, and the workflow is turned on.

Things to Try in HubSpot

View New Properties And Events

The new Tally St properties will be immediately available in a Tally St section for each Company. The properties can be managed, hidden and reordered using HubSpot’s property settings.

Company and Contact events will start to appear in the Activity feed as they happen. Many have additional details and all of them can be put to great use in HubSpot workflows.

Build Dashboards and Reports

The dashboard and reporting options are almost limitless. The new company properties can be combined with other company, contact, deal, etc. properties to produce very rich analyses both inside and outside of HubSpot.

The following examples include a customer insights dashboard with year to date sales for each customer segment and a list of customers flagged as possible churn risks.

Create Smarter Active Lists

The new company properties can be used to enhance existing lists and create new ones.

This example can be quickly built by filtering on companies with a Customer Segment of “Promising” and with three (3) or more months since their most recent sales transaction. Customer profiles are easy to see with columns for lifetime value (LTV), overdue balance, months since recent sale and the date of their first sale.

Trigger Better Workflows

The Tally Street events and properties can be used to trigger workflows. This sample workflow is triggered by an event recording the customer’s segment changing to “Don’t Lose Them” or “Give Attention” — a new churn risk. The workflow then creates a task the contact owner to check in with the customer.

Uninstall Tally Street from HubSpot

To uninstall either of the Tally Street apps from HubSpot:

  1. Log into HubSpot
  2. Go to your settings, scroll down to Integrations, and view your Connected Apps
  3. Click that Actions button next to Tally Street Customer Insights or Tally Street RevOps Pro and click Uninstall.

You’ll then have an opportunity to reconnect either of the Tally Street apps for HubSpot.
